Recently I was approached to begin marketing a new property management software for from Dectia Software.   Having purchased my first 2 rental properties during the summer of 2014, I was excited to learn more about this software simply beyond my marketing relationship with the company.

It wasn’t long into my tenure as a landlord, that I realized I needed some method to help me organize the day to day operations of my rental properties.  Both of my rental properties came with long term tenants.  Immediately, I needed to be able to track the financials of these properties.  I needed to account for the deposits they had paid on these properties and the pro-rated rents that I had received at closing.

On a monthly basis, I am tracking not only the rental income that is coming in from my tenants, but I am also needing to track expenses.   In recent months those expenses have included such things as the replacement of a furnace, plumbing repairs and pest control, not to mention the ongoing expenses of property taxes and insurance.   These expenses are important to not only the profitability of my properties, but also for my yearly tax reporting as the majority of these expenses are deductions against my overall tax liability (this is not meant to be construed as tax advice, seek counsel from your tax adviser).

Property management software is a landlord’s friend for these purposes.  Software allows the property owner or property manager to quickly organize income and expenses.  Reports are readily available, so that the owner or manager knows the profitability of a property at any given moment.

Additionally, a property management program allows the property manager to track and organize tenant leases.  The manager can quickly look to determine tenants who have leases coming up for renewal in the near future.  They can also track the status of rent payments at any given moment.

Property Management Software Choices for Landlords

In the marketplace today there are 2 basic categories of property management software.  There is online software that is cloud based and accessed with a username and password.   There is also downloadable software that operates from your computer’s desktop.

Most cloud based software for property owners is set up on a monthly subscription basis.  The subscription price generally increases as the number of properties under management increases and/or as the number of property owners increases.

Downloadable property management software is typically licensed based on the number of property owners or the number of properties allowed, based on the software limitations.   These licenses are typically a one time investment, with the option for an annual update subscription.  Many prefer a downloadable software option, because the financial data of the property owner and the personal information of the tenants is saved onto the owner or manager’s local computer.
